Information on the Processing of Personal Data

The protection of your personal data is important to us.

Please familiarize yourself with the information on how the following companies:

Hereinafter referred to as COMPAS Companies, simply COMPAS, or also “we,”

process your personal data in connection with the provision of products and services.

What personal data do we need from you?

The COMPAS Companies are the Controllers of personal data that you, as a customer, supplier, or partner, provide to us. We obtain personal data from various sources, including publicly available sources such as public registers (e.g., the commercial register), company websites, and documents necessary for contract fulfillment (email or other communications, orders). We only collect basic personal data, not sensitive information. This personal data includes your name, surname, title, address, company name, position in the company, email, phone number, and professional preferences (see products and services on our websites). All COMPAS Companies act as Controllers of your personal data and share your personal data with each other.

Why do we need it?

We only require your basic personal data to provide you with information about our products and services, marketing events (seminars, conferences) in line with your needs and preferences, and to fulfill our contractual obligations and commitments under applicable laws. We use various channels for communication, such as mail, electronic means (email, webinars), or phone calls. If you are our supplier, we may also contact you with service inquiries for our companies.

How do we handle personal data?

When processing your personal data, we apply the following procedures and mechanisms because data security and protection are our key priorities:

  • We always process your personal data for a clearly defined and comprehensible purpose, by specified means, in a specified manner, and only for the period necessary for the purposes of its processing.
  • We process your personal data in a way that ensures the highest possible security and prevents any unauthorized access to your personal data.
  • We always inform you about the processing of your personal data and your rights related to the processing of personal data.
  • In our COMPAS Companies, we adhere to appropriate technical and organizational measures to ensure a level of security corresponding to all possible risks.
  • All persons who come into contact with clients’ personal data are bound to confidentiality regarding the information obtained in connection with the processing of such data.

Who do we share personal data with?

All personal data processed by us is handled by our employees within the European Union. The personal data collected in the ways described above may be shared with third parties that provide services related to the sale and delivery of our goods and services, order processing, administrative support, or the use of software tools. These entities act as personal data processors. Therefore, we may share your personal data with:

  • Our sister companies within the COMPAS group, primarily for administrative support in the sale of goods and services, sharing certain services, and/or ensuring invoicing,
  • Our IT system suppliers, who may have access to your personal data in certain cases,
  • Public authorities, as required by law.

We aim to be your trusted and transparent partner; thus, we do not trade personal data. All service providers that process your personal data for us are contractually bound by data protection agreements and confidentiality or other legal regulations.

How long do we retain personal data?

We process your personal data for the duration of your consent to its processing, or for the period required by law or the duration of our contractual relationship.

What are your rights?

In accordance with applicable law, you have the right to request access to your personal data processed by us as a Data Controller, the right to rectification, erasure, data portability, the right to object, and the right to request restriction of our processing. You can also withdraw your consent to data processing at any time, either for all or specific purposes.

How can you exercise your rights?

If you exercise any of your rights, we will inform each recipient to whom your data was provided of any action taken, correction, deletion, or restriction of processing, in accordance with your request, unless such notification is impossible or would require disproportionate effort.

You can exercise your rights concerning personal data, including withdrawal of consent, by the following means:

  • By email with a certified electronic signature to the address info@compas.cz
  • By registered letter with a verified signature sent by post to the Controller’s address
  • In person at the Controller’s registered office

After you exercise your rights, we may request some identifying information that you have provided to us. Providing such information is necessary to verify that the request was in fact made by you. We will respond within one month of receiving your request.
